Description:

Ensures that the daily activities of materials management and supply distribution are accomplished by efficient and productive means.


ESSENTIAL DUTIES AND RESPONSIBILITIES: include the following.
-Purchase the highest quality merchandise at the lowest possible price and in correct amounts.
-Prepare purchase orders for manager’s approval, solicit bids and proposals, and review requisitions for goods and services.
-Monitor inventories of products or materials.
-Monitor shipments to ensure that goods come in on time and resolve problems related to undelivered goods.
-Confer with staff, users and vendors to discuss defective or unacceptable goods or services and determine corrective action.
-Review catalogs and internet sites and consult with other department personnel to locate necessary goods and services.
-Study usage records and inventory levels of current stock to develop strategic purchasing programs that facilitate employee access to supplies.
-Crosstrain to be able to complete duties of Materials Management Clerk-Courier in their absence
-Crosstrain to be able to complete selected duties of Materials Management Supervisor in their absence
-Reviews all invoices for appropriate documentation and approval prior to payment.
-Prints and obtains signatures on all accounts payable checks.
-Distributes signed checks as required.
-Prepares garnishment checks per reports from payroll.
-Acts as liaison between corporate and branch accounts payable departments.
-Answers all vendor inquiries.
-Maintains all accounts payable reports, spreadsheets and corporate accounts payable files.
-Assists corporate financial officers and branch personnel as necessary.
-Prepares cleared checks for storage.
-Assembles and processes overnight shipments to branches.
-Assists in monthly closings.
-Prepares analysis of accounts, as required.
-Performs filing and coping.

Other duties as assigned.

Education and/or Experience:

-High school diploma or general education degree (GED); or one to three years related experience and/or training; or equivalent combination of education and experience.
-Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals.
-Ability to apply common sense understanding to carry out detailed written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
-Individual should have knowledge of accounting software, spreadsheet software and word processing software.
